Overview of the current business systems in place to facilitate internal communications

Executive Summary

This report is prepared for current business systems in place to facilitate and improve those business systems’ internal communications among the employees to achieve the goals of the company efficiently. Internal communication opens a way towards becoming an efficient and productive customer service and not compromising on the quality and quantity of the company. Internal communication is almost similar and every industry, business or firm can correlate the issues occurs due to poor internal communication. The lack of communication between the board of directors and the managing directors lead the company towards failure and somehow favoritism and support to specific members cause the conflicts and disputes within the industry, firms and the organization. In this report, few recommendations have been given along with the theories and models proposed by the experienced economists and communication experts.

 

Introduction

Internal communication is the carrier of information between the institute members and different parts of the company, it takes place across multiple units of the company. Because of the communication, it is being justified that the employees are dedicated to identical tasks or goals. Due to the better internal communications, the employees, managing directors, the board of directors, foremen and other staff to collaborate together and discuss their problem and encourages the workers to develop spirit towards taking healthy judgments for fulfilling the objectives and requirements of the industry. Internal communication opens a way towards becoming an efficient and productive customer service and not compromising on the quality and quantity of the company.

 

Overview of Relevant existing Business Systems

Healthy communication skills within the employees lead the team to communicate precisely, clearly and on the over the relevant tasks and numerals, and the manager would be encouraged and determine himself towards distributing the tasks and managing the conflicts in a better way. Because after knowing the actual problem, everyone would e concentrating on solving and finding a solution for it and finds better works done without missing the important objectives. Due to the healthier interior communications, the staffs, supervision directors, the board of executives, foremen and other staff to cooperate together and deliberate their problematic and inspires the labors to cultivate essence on the road to captivating strong findings for satisfying the aims and necessities of manufacturing or any kind of firm.

 

Models and Theories proposed over internal Communication

Following are the models and theories prosed for internal communications, which are:

             Aristotle's persuasion model

             Newcomb’s interpersonal communication model

             Thayer’s organizational communication model  

             Shannon’s and Weaver’s informational theory model

Newcomb’s interpersonal communication model

This model explains that there must be the involvement of the third party between the communication of message sending one and the one who receives it as it is the most reliable and easiest model ever presented.

Aristotle's persuasion model

Aristotle’s model proposes that whenever any professor/guider or teacher delivers his words or dialogue in the public or within the class halls, the way of speech must be noted down and mentioned in the model of persuasion.

Thayer’s organizational communication model  

the model revolves around the better interpersonal and communication within the firm which leads the company to pay full dedication towards tasks and complete it successfully. Thayer’s organizational communication model develops the linkages of the board of directors with the lower and medium management body.

Shannon’s and Weaver’s informational theory model:  Shannon and Weaver showed that when the message from the managing board of director is conveyed or sent according to his thoughts and words choice the receive who can be middle management body or lower management body receives the message and interpret it according to his own understandings and replies back with a formal or precise meaningfully.

Recommendations

             Because of the complete linkages and communicating set, a complete pathway would be available for the workers which they can follow and reaches the goals of the firm efficiently.

             Receive updates about the projects by the consultation and communication with the middle level and lower level managing staff body, and distribute the strategic plan among the workers and employees of the organization.

             Updating the staff on a daily basis and communicating with the staff on a daily basis.

             A belief of effort distribution and specialty in directive to focus accomplishments to permit specialism of services and considerations, additional effort emphasis and effectiveness.

Conclusion

The conclusion of this report is that the management must communicate well with the workers and encourages crew inner self will figure synchronization and unanimity inside the institute. This must be originated through the upper level because it is in influences of Upper administration. Staffs that will be permissible to invent and transmit out strategies will utilize great stages of power.
